JOB DETAILS
* Reports to: Head of Executive Staff Office
* Department: Office Management
* Hours: 32-40h/week
* Location: Berlin
RESPONSIBILITIES
Office-specific tasks on site
* Contact person for general questions and tasks in the field of office organization
* Processing of orders (account management), retrieval of credit and bank details for orders
* Processing of all incoming and outgoing postal and goods shipments
* Onboarding and offboarding of new employees in cooperation with HR and IT
* inventory monitoring
* Receiving and directing visitors
* Merchandise organization
* Overview and organization of kitchen spaces and food
* maintenance of the library
* COVID-19 related office rules and processes
Administrative and operational tasks
* Concept development “office of the future”
* Optimization of internal administrative processes
* Interface between office management and other departments (IT, HR, finance, management)
* Operational travel management
* Facility management - coordination with external service providers (e.g. locksmith, cleaning company, property management, insurance)
* Optimization of operational processes
QUALIFICATIONS
Necessary:
* Identification with the goals of ProVeg, conscious use of scarce resources, interest in the administration of a performance-oriented NGO, sense of order, accuracy
* A positive, proactive, respectful and enthusiastic work attitude

* Experience in the NGO sector or in service-oriented professions
* Relevant studies (e.g. public administration, business administration, construction and environmental administration)
