About the Role

The Executive Assistant to the CEO position will provide confidential high-level support and assistance to the President & CEO in a manner that ensures the effective use of time and productive interactions with staff, members of the Boards of Directors, donors and the public. Serves as the primary point of contact for internal and external constituencies. Manages all aspects of the executive’s complex meeting schedule. Handles a wide range of administrative and executive support-related tasks including travel arrangements, expense reports, time tracking, records and reporting, written correspondence and all sensitive internal/external confidential communication or other messaging on behalf of the executive, using proper judgment and discretion. This position will report to the Chief of Staff (COS).
You will be responsible for:
• Managing a complex and fluid schedule of appointments and meetings for the CEO, exercising discretion regarding workflow, priorities and competing demands;
• Anticipating and proactively addressing the CEO's needs by working with the COS in handling complex situations and multiple responsibilities simultaneously. Working with COS, assisting on special projects, executive outreach and external relations and Board engagement;
• General administrative duties including compiling and processing expense reports accurately and timely; making travel arrangements and coordinating itineraries; researching issues and gathering data/information as directed; composing routine and often confidential correspondence and; maintain department files for reference and quick retrieval. This position is often called upon to proof Officer documents’
• Scheduling, coordinating and assisting the COS in preparing President & CEO for meetings and presentations by gathering and preparing advanced information; reviewing and formatting talking points and presentations and; ensuring necessary coordination with partners, stakeholders and staff;
• Tracking and submitting weekly timesheets for the CEO. Approving timesheets and time off requests for their direct reports;
• Distributing CEO reports, including the CEO’s annual and quarterly reports to major donors, the boards of directors, and external stakeholders, and internal communications to all employees. Collecting lobbying reporting information, ensuring accuracy and timeliness in reporting activity to the manager, lobbying reporting and accounting;
• Performs other duties or responsibilities, as assigned.
